11/10/11- In our continued efforts to streamline our processes, effective immediately we are implementing the following changes: NEW APPOINTMENT FILES- Departments only need to submit the original file and reprints in hard copy to ASA (MC 0742). We will also accept hard-copy files and reprints. WAIVERS: Per last week’s message from Carla Solomon, departments may submit waiver requests directly to OADEO. VCHS will now post audit waiver requests to expedite the process. OTHER ANNOUNCEMENTS Academic Advancement & Training File prep tips to help you avoid delays in file processing Departments can avoid snags and speed appointment and review file processing by following Academic Personnel Services’ updated tips on file preparation. These tips are based on comments by the Committee on Academic Personnel (CAP) and other reviewers on common problems seen in appointment and review files. There are four sets of tips, each specifically tailored for General Campus, Health Sciences, SIO, and ORU file preparers. The tips are available on the Academic Appointment and Review Procedures<http://academicaffairs.ucsd.edu/aps/advance-train/appt-rev-process.html> page on the APS Web site. Academic Diversity and Equal Opportunity Collection of ethnicity and gender data As a federal contractor, UCSD must collect data on the gender and ethnicity of all of its employees in order to comply with federal laws. The University uses this data for annual reports to the U.S. Department of Education, to apply for certain grants, and to meet its Affirmative Action goals. Currently, the campus Payroll/Personnel System (PPS) indicates that gender and ethnicity are “unknown” for a significant number of academic appointees. For this reason, the Office of Academic Diversity and Equal Opportunity (OADEO) will soon be sending e-mails to these appointees directing them to a brief online questionnaire that will allow them to quickly provide their ethnicity and gender information. The questionnaire also offers the option of declining to provide this information. After this request has been sent to appointees, OADEO will provide departments with lists of appointees for whom data is needed. Carla Solomon, director of Academic Diversity and Equal Opportunity, asks that departments aid her in collecting the requested data by encouraging appointees to provide the necessary information. The following Q&A regarding ethnicity and gender information will be provided to affected appointees as part of the e-mail request for their data. Why do I need to self-identify my ethnicity and gender? UC San Diego is a federal government contractor and is legally obligated to comply with a number of requirements and regulations. The information collected is used for statistical reporting to the federal government, accreditation bodies, and grant-awarding agencies, as well as for internal benchmarking and review. Who has access to the ethnicity and gender data that employees have provided? The ethnicity and gender data is considered confidential employee information. Your name and employee number are removed when this data is used for reporting purposes. How is ethnicity and gender data utilized? Each year the University is required to conduct various analyses of its workforce and develop an Affirmative Action Plan. The information being requested is critical to these analyses. What if I decline to state my ethnicity and gender? Identifying your ethnicity and gender is voluntary, and you can choose the "do not wish to provide" option. Checking this box to decline to provide the information will not affect your employment status. Can my ethnicity and gender data be used in making employment decisions? The ethnicity and gender information you provide is confidential and will not be used as the basis for any employment decision affecting you. Andrew Ries, M.D., M.P.H.
